AccountBridge™ replicates customers and financial documents (invoice, customer data, payments, donations) from WildApricot, mapping them to different QuickBooks accounts, classes, and products. You can use event tags and online store tags to categorize subaccounts. Extra charges for memberships and events can be routed to account and classes as well. Sales taxes can be routed to QuickBooks taxes as well.
AccountBridge™ is designed to replace and automate your current revenue synchronization. Once it is fully implemented, AccountBridge™ automatically syncs your revenue records from WildApricot to QuickBooks, so you no longer need to import the same customer payment transactions from your bank account or payment gateway. To avoid creating duplicate payment records, it is important to turn off the import of incoming payment transactions from these sources. If you continue importing revenue transactions from your bank account or payment gateway, the same payments may be recorded twice in QuickBooks, resulting in duplicate revenue records and inaccurate financial reporting.
If you need to import expense transactions, you can import expense records separately without importing revenue transactions from these sources.
Use WildApricot as your source of truth for revenue and record all customer payments there. This allows AccountBridge™ to send detailed information to QuickBooks, including customer details, revenue accounts, products/services, and other transaction details that are not available through a bank feed.
Manual invoices created in WildApricot lack a source of revenue identification. These invoices can be mapped to an "Uncategorized" product/account and categorized manually in QuickBooks.
When WildApricot administrators create invoices with multiple line items — such as memberships and event registrations on the same invoice — the invoice will still be imported. However, without a clear revenue origin, AccountBridge™ cannot accurately assign it to a specific product or class.
To avoid this, administrators should use WildApricot's built-in modules to create invoices rather than creating manual invoices: renew or add memberships directly through the membership module, record online store purchases through the store, create donations in the donations module and register contacts through the event module. This ensures each transaction is generated with a proper revenue source and can be accurately imported into QuickBooks using AccountBridge's configured invoice and donation mapping rules.
AccountBridge™ does not automatically reverse any payments that have been imported into QuickBooks. When a refund is issued in WildApricot, that same refund has to be manually applied inside QuickBooks.
AccountBridge™ does not migrate voided invoices to QuickBooks Online. Only active records are included in the synchronization process.

We recommend that all financial operations are recorded as invoices and payments in WildApricot to ensure all revenue is imported into QuickBooks. Think of WildApricot as your revenue system that records all your revenue whether it is related to a specific WildApricot module or otherwise. Once an invoice and payment is in the WildApricot's financial module it can be imported with AccountBridge™ using the configured business rules automatically.

AccountBridge™ staff will only have access to historical synchronization when asked to assist. Configuration data for the automation is stored in the AccountBridge™ database, but the data pipeline does not retain any information. Historical synchronization and audit logs are stored for 30 days for debugging purposes in a Secure Automation Enclave hosted at Amazon Web Services. Reports are generated on demand and sent via secure means but not stored permanently in AccountBridge™.
